Wanderin' Man Adventures Pvt. Ltd, a company registered under the Indian Companies Act, 2013, operates all events advertised in our brochures and website. Participation in these events is subject to the following terms and conditions:
1. Insurance Requirements
All participants, whether international (non-Indian) or domestic (Indian), must have a valid and adequate travel insurance policy in place prior to departure.
2. Booking Procedure
Bookings can be made through email/phone, our website www.wanderinman.com, or through an approved travel agent. The person making the booking must be at least 18 years old and have the legal capacity to do so. If one person is booking for others, they will be required to ensure that everyone else has accepted the terms and conditions of this agreement. International (non-Indian) participants may also be required to pay for non-refundable items such as national park entrance fees and permits, as required.
Communication regarding the event should only be made through the travel agent if the booking was made through an approved travel agent.
Once the booking is accepted, a confirmation invoice will be sent to you. Please carefully review the invoice and inform the company of any necessary changes. The names and identity proof provided must be legally valid and self-attested. Travel documents/itinerary will be sent or emailed to you before the tour departure, but will not be issued unless all payments have been received and any outstanding checks have cleared.
Your safety is a top priority, so please inform the company in writing at the time of booking of any medical conditions or special needs that may impact your or others' experience during the event. You must also agree to provide any information requested by government authorities or security agencies for security and counter-terrorism purposes. This information, known as Advance Passenger Information, may include but is not limited to: full name, gender, age, nationality, travel document type and number. Indian nationals may only be required to provide this information for the lead booking participant, while non-Indian nationals may be required to provide it for all participants.
2.1 Partial Payment Booking Terms
If you make a booking by paying a partial amount, the remaining balance must be paid at least 20 days before the departure date according to the published itinerary and batch reservation. If the balance payment is not received 10 days prior to the departure date, the booking will be considered cancelled and Wanderin' Man Adventures will not be responsible for providing any cash refunds.
3. Prices, Surcharges, and Refunds
The prices for all events are updated frequently on our website, but we reserve the right to change them at any time. From time to time, there may be temporary offers and promotions available, and we have the right to introduce or withdraw them without notice. However, those who have already booked using any offer or promotion will not be affected.
3.1 Changing or Cancelling a Booking by the Participant
3.1.1. Procedure - The cancellation process is fully automated. Please log into your WMA account and follow the instructions on your dashboard to initiate the cancellation. The cancellation process will follow the terms of the company. Cash refunds will be processed automatically by the system if it is applicable in your case (Refer to clause 3.1.3)
3.1.2. Replacing a Participant - You can easily replace any participant in your booking through the WMA login account dashboard if the booking status is "Paid" and there are at least 7 days left before the departure date (departure date minus 5). The new participant needs to print, sign, scan, and send the undertaking form to info@wanderinman.com.
Please note that the replacement option is not applicable for any Volvo Bus/Train/Airline transport booked for the original participant. These will be automatically cancelled, as the seats booked in these modes of transportation are non-transferable.
3.1.3 Cash Refund (All events including Friendship Peak Expedition except other Mountaineering Expeditions) - Cash refunds are only available for bookings made without any discounts, such as promotional codes or dynamic discounts. Additionally, cash refunds are not available for shifted batch bookings or if the booking status is "Booked". The amount of the refund will be determined based on the following guidelines:
• Cancellations made up to 31 days before the departure date will incur a 5% deduction.
• Cancellations made between 30 and 21 days before the departure date incur a 20% deduction.
• Cancellations made between 20 and 11 days before the departure date incur a 50% deduction.
• Cancellations made less than 11 days before the departure date are not eligible for a cash refund.
Refunds will be processed back to the bank account or credit card account used to pay for the event i.e., the source of payment. The amount refunded will be based on the net amount paid for the event, excluding additional components such as transportation, rent, or portage.

3.1.4 Cash Refund (Mountaineering Expeditions except Friendship Peak Expedition) – The refund amounts will be based upon the following guidelines:
• Cancellations made up to 31 days before the departure date will incur a 10% deduction.
• Cancellations made between 30 and 21 days before the departure date incur a 25% deduction.
• Cancellations made between 20 and 11 days before the departure date incur a 50% deduction.
• Cancellations made less than 11 days before the departure date up to 1 day prior to the departure date will only be eligible for 20% cash refund.
3.2. Changes or Cancellations by Wanderin' Man Adventures
Wanderin' Man Adventures reserves the right to cancel or change any part of your booking or services, including prices, as described in our brochures or website. We will do our best to notify you of any changes if they are known at the time of booking. However, in the field of adventure activities, there are many variables that are beyond our control, such as weather conditions, landslides, road situations, and other unforeseen events (such as war, terrorism, natural disasters, etc.). If such circumstances arise, we may be forced to change the itinerary or cancel the event. In such cases, you will have the option to either:
• Accept a replacement event of similar or equivalent standard and price (at the time of change), if available; or
• Cancel the event, in which case you will receive a full refund, including all components paid (transport, base fee, taxes).
If the change or cancellation is due to "force majeure" or any other reasons beyond our control, before the departure date, then we will provide you with the following option:
• Shift you to an event in another region, for a similar duration. We would either ask you to pay the extra cost, if this event costs more than the one you had booked, or refund the difference, if this event costs less than the one you had booked.
• Or, you can opt to do the same event, within a year from the start date of the event you were supposed to go on.
• If the above options do not work for you, then you can opt for a refund of 75% of the total amount that you have paid.
3.3 Changes/Cancellation After Departure
3.3.1 In case of changes/cancellation due to circumstances beyond our control, such as "force majeure”, Wanderin' Man Adventures will not be responsible for providing a refund for the amount already paid.
3.3.2 If the change/cancellation is for another reason, we will try to make alternative arrangements if possible. If we can't make such arrangements, or if you reject them for good reason, we will return you to your departure point and refund you for any unused services.
3.4 Drop-out by Participant
In the case of a participant dropping out during the event, no refund will be provided. The participant will also be responsible for paying any additional expenses incurred for their retreat. If suitable arrangements for retreat are not possible, Wanderin' Man Adventures reserves the right to deny the drop-out.
3.5 Emergency Evacuation
While we have first aid and experts available at all our events, there may still be situations that require an emergency evacuation. In such cases, we will make arrangements for your safe evacuation to the nearest road head that is well-connected by road and provide assistance with boarding a vehicle to the nearest hospital or other necessary facility. Any expenses incurred, including porter fees, vehicle costs, ambulance fees, hospitalization fees, or other expenses, will be the responsibility of the participant.
4. Visa, Health, Passport, and Travel Documentation
While we can provide general advice and information on passport and visa requirements, it is your responsibility to verify the specific requirements for your travel event and date with the relevant embassy or consulate. We cannot be held responsible for any costs or penalties incurred as a result of non-compliance.
5. Local Laws and Customs
The laws and customs of the areas we visit can be vastly different from what we are used to. Be mindful of your actions to avoid offending, especially in religious areas. You are responsible for familiarizing yourself with and respecting local laws and customs, and we cannot be held liable for any costs, damages, or losses incurred or for the cost of any unused portions of your travel arrangements if you fail to do so.
6. Privacy Policy
We take privacy seriously and will only share your information when necessary for safety or arrangement purposes. We may need to provide your contact details to relevant vendors. During our expeditions, we may take pictures, record videos, and create other intellectual property that may feature you. Unless otherwise specified by a participant, we will assume permission has been granted for using this content. We encourage participants to share their own pictures and videos, and we give credit before publishing any such content on public platforms.
7. Leader Authority and Behaviour
On all events, it is important to abide by the authority of the leader, who represents the company. If you engage in illegal activity or if your behavior is deemed disruptive, threatening, abusive, or puts other participants or staff at risk, the leader or a person in authority may terminate your travel arrangements without liability on our part. All forms of intoxication, including alcohol, illicit drugs, weed, and hash, are strictly prohibited on all expeditions. The leader's assessment in this regard is final, and any traces or indications of such substances will result in termination of the expedition. In such cases, no refunds or compensation will be provided and we will not be responsible for any costs incurred.
8. Accommodation Policy
Accommodation provided by us must only be used by the individuals listed on your Confirmation Invoice. Sharing of the accommodation or allowing anyone else to stay there is not allowed. Any damages caused to the accommodation or its contents during your stay must be paid for by you and may need to be paid locally.
9. Special Requests and Backpack Policy
We will take into account special requests such as dietary requirements or specific rooming arrangements at the time of booking. If there is a charge for the request, we will inform you. Only requests for which there is a charge or those confirmed in writing can be guaranteed. It is your responsibility to notify us of any special requirements via email after you have confirmed your booking.
One common special request we receive is for carrying backpacks on mules or porters during our trekking events. We highly suggest that participants carry their personal backpack themselves as it can be essential in the mountains in unexpected situations. However, if someone is unable to carry their backpack or is feeling unwell, they may opt to pay a fee as outlined below:
INR 500 per bag per day when logistics are managed through mules.
INR 1000 per bag per day when logistics are managed through porters.
Note: Each bag should not weigh more than 12 kg (for treks in India). This weight limit is only a reference, and the number of bags will be counted to calculate the fees.
Note: Partial offloading is not permitted, meaning the number of days will be counted as the total duration of the trek/expedition regardless of when the offloading occurs. For expeditions that require additional days for reverse logistics, 1 or 2 days may be added to the total duration of the expedition.
10. Participation Requirements
10.1 All clients must ensure they are fit and able to complete the itinerary of their chosen event as described in the itinerary before booking.
10.2 No unaccompanied minors under 18 years of age can be accepted, but minors aged 10-17 may accompany their parent or guardian who accepts full responsibility.
10.3 Anyone with a mobility impairment, illness, or disability must declare the condition at the time of booking and make arrangements for medication or treatment during the event.
10.4 Failing to make such disclosure constitutes a breach of the booking conditions and may result in exclusion from the event and forfeiture of all payments.
10.5 Participants must have read and understood the eligibility criteria of the expedition they are signing up for, which is clearly mentioned in the FAQs section on the itinerary page.
10.6 At the start of the expedition, they must meet the criteria fully in terms of fitness and experience, or they may be refused participation at any stage.
10.7 In this case, Wanderin' Man Adventures and its staff are not responsible for any refund of fees paid by the participant.
10.8 For expeditions involving road travel, participants are advised to take road safety norms into consideration.
10.9 Indiscipline regarding road safety may result in restrictions, suspension, or termination of the participant's ride/drive.
10.10 Participants are responsible for maintaining and responsibly using any equipment issued to them, and are liable for compensating for any damage or loss.
11. Law & Jurisdiction
Any disputes arising from this agreement must be negotiated in good faith to arrive at an amicable resolution. All legal proceedings regarding any matter, claim, or dispute arising from this agreement will be governed by Indian law. The High Court of Bombay will have exclusive jurisdiction over any claim arising from the agreement.
